AtlasCare Transport Terms of Service
Welcome to AtlasCare Transport.
Thank you for choosing AtlasCare for your healthcare transportation needs. These Terms of Service describe the conditions that apply when you request, schedule, or receive transportation services from AtlasCare Transport LLC ("AtlasCare," "we," "our," or "us").
Our goal is to provide every client with safe, reliable, comfortable, and compassionate transportation while maintaining clear expectations for everyone we serve.
By booking or using our services, you agree to these Terms of Service.
1. Our Services
AtlasCare provides private, non-emergency medical transportation designed to help clients safely access healthcare services.
Our services may include:
- Ambulatory transportation
- Wheelchair-accessible transportation
- Round-trip transportation
- Long-distance medical transportation
- Hospital discharge transportation
- Wait & Return service
- Recurring appointment transportation
- Optional Appointment Companion services
AtlasCare does not provide:
- Emergency medical transportation
- Ambulance services
- Medical treatment
- Skilled nursing care
- Personal care services
- Medication administration
2. Service Area
AtlasCare primarily serves clients throughout the Willamette Valley and surrounding communities, including transportation to regional healthcare facilities and specialty medical centers.
Transportation outside our normal service area may be available upon request.
3. Reservations
Reservations are accepted by phone, email, or through our online request form.
Advance reservations are strongly recommended.
A reservation is considered confirmed only after AtlasCare provides confirmation.
Same-day transportation may be available but cannot be guaranteed.
4. Quotes & Pricing
Transportation quotes are estimates based upon the information provided at the time of booking.
Final charges may change if:
- Pickup or destination changes
- Additional mileage is required
- Appointment duration changes significantly
- Wait time exceeds the reserved amount
- Additional services are requested
- Unexpected circumstances materially affect the trip
Whenever reasonably possible, AtlasCare will explain any significant pricing adjustments before additional charges are incurred.
5. Payment
Payment is due at or before the time of service unless alternative arrangements have been approved.
AtlasCare accepts:
- Visa
- Mastercard
- American Express
- Discover
- Debit cards
- HSA/FSA debit cards for eligible services
- Other approved payment methods
Clients are responsible for determining HSA/FSA eligibility under their individual benefit plan.
Itemized receipts are available for every completed transportation service.
6. Scheduling, Rescheduling & Cancellations
Medical appointments occasionally change with little notice.
AtlasCare will make every reasonable effort to accommodate appointment changes initiated by healthcare providers.
Client cancellations and rescheduling are governed by our Scheduling & Cancellation Policy.
7. Arrival Times
AtlasCare carefully schedules each day's transportation to promote dependable, on-time service.
However, traffic conditions, weather, healthcare facility operations, road closures, accidents, and other unforeseen circumstances may occasionally affect arrival times.
Although we strive to arrive on schedule, exact pickup or arrival times cannot be guaranteed. If we arrive more than 15 minutes past your scheduled pickup window, or miss a scheduled pickup entirely, that ride will be provided at no cost.
8. Wait & Return Service
Clients reserving Wait & Return service receive transportation to their appointment along with transportation home once their healthcare journey is complete.
Additional waiting beyond the reserved service may result in additional charges.
9. Client Responsibilities
To help ensure a safe and successful transportation experience, clients agree to:
- Provide accurate reservation information.
- Notify AtlasCare of appointment changes promptly.
- Be ready for pickup at the scheduled time.
- Wear seat belts whenever applicable.
- Follow reasonable safety instructions.
- Inform AtlasCare of wheelchairs, walkers, oxygen equipment, or other mobility devices that will accompany the trip.
10. Boarding Assistance
Our current wheelchair transportation equipment is designed for riders who weigh 250 pounds or less and can actively participate in transfers with minimal assistance. Boarding and transfer assistance includes assistance entering and exiting the vehicle, wheelchair positioning and securement, wheelchair brake management, footrest positioning, mobility equipment handling, and light hands-on support to help steady riders who are able to bear weight and actively participate in the transfer.
For the safety of everyone involved, AtlasCare does not provide:
- Extensive lifting
- Two-person transfers
- Floor lifts
- Medical transfers
- Personal care services
- Clinical assistance
If a client's needs exceed what can be safely provided, AtlasCare may require an additional caregiver or decline service until appropriate assistance can be arranged.
11. Wheelchairs & Mobility Equipment
Wheelchairs and mobility devices must be in safe operating condition.
Wheelchairs transported inside the vehicle must be properly secured using federally compliant securement systems before transportation begins.
AtlasCare reserves the right to decline transportation when equipment cannot be safely secured.
12. Appointment Companion Services
Appointment Companion services provide non-medical support during a client's healthcare journey.
Services may include:
- Navigation assistance
- Appointment accompaniment
- Wayfinding assistance
- Appointment logistics
- Communication with authorized family members
- Non-clinical support
Appointment Companion services do not include:
- Medical advice
- Clinical care
- Medication administration
- Personal care
- Financial decision-making
- Legal representation
13. Companions & Service Animals
One family member or caregiver may accompany the client at no additional cost.
Service animals trained to perform work or tasks for an individual with a disability are always welcome.
Clients traveling with a service animal should notify AtlasCare before transportation whenever possible.
14. Personal Belongings
Clients are responsible for personal belongings brought during transportation.
AtlasCare will make reasonable efforts to return items left behind but cannot guarantee recovery or assume responsibility for lost, stolen, or damaged personal property.
15. Safety & Driver Authority
Safety is our highest priority.
Drivers may delay, suspend, or decline transportation whenever they reasonably believe doing so is necessary to protect the safety of the client, driver, or others.
Examples may include:
- Unsafe boarding conditions
- Aggressive behavior
- Unsafe mobility equipment
- Hazardous weather or road conditions
- Conditions exceeding the scope of our services
Whenever possible, AtlasCare will work with clients and caregivers to identify appropriate alternatives.
16. Limitation of Liability
AtlasCare exercises reasonable care in providing transportation services.
To the fullest extent permitted by law, AtlasCare is not responsible for delays, missed appointments, schedule changes, or service interruptions resulting from circumstances beyond our reasonable control, including traffic, weather, road closures, healthcare facility delays, mechanical failures, or other unforeseen events.
Nothing in these Terms limits any rights that cannot legally be limited under applicable law.
17. Privacy
AtlasCare respects your privacy.
Information collected during scheduling and service delivery is used solely to provide transportation services, communicate regarding reservations, process payments, and comply with applicable legal obligations.

18. Website Use
Information provided on the AtlasCare website is intended for general informational purposes.
Although we strive to keep all information current and accurate, website content may change without notice.
19. Governing Law
These Terms of Service are governed by the laws of the State of Oregon.
Any disputes arising from these Terms shall be resolved in accordance with applicable Oregon law.
20. Changes to These Terms
AtlasCare may update these Terms of Service periodically.
The most current version will always be available on our website and will include the effective date.
