AtlasCare Transport Privacy Policy

AtlasCare Transport LLC (“AtlasCare,” “we,” “our,” or “us”) respects your privacy and is committed to handling personal information responsibly.

This Privacy Policy explains the types of information we collect, why we collect it, how we use and share it, how we protect it, and the choices available to you.

This Privacy Policy applies when you:

  • Visit our website
  • Request transportation
  • Book or receive AtlasCare services
  • Communicate with AtlasCare
  • Submit information on behalf of a passenger
  • Interact with AtlasCare through a healthcare facility, caregiver, family member, scheduling platform, or other authorized person

This Privacy Policy should be read together with our Terms of Service.

1. Information We Collect

The information AtlasCare collects depends on how you interact with us and the services you request.

We seek to collect only information reasonably necessary to evaluate transportation requests, provide services, communicate with passengers and authorized persons, process payments, maintain appropriate business records, and operate our business.

Contact Information

We may collect:

  • Name
  • Telephone number
  • Email address
  • Mailing address, when provided
  • Preferred method of communication

Transportation & Scheduling Information

We may collect information necessary to evaluate, schedule, and provide transportation, including:

  • Pickup address
  • Destination address
  • Healthcare facility or appointment destination
  • Appointment, discharge, or pickup date and time
  • One-way or round-trip transportation needs
  • Wait & Return requirements
  • Requested stops
  • Transportation history with AtlasCare
  • Scheduling notes and instructions
  • Name and contact information of a person requesting transportation on behalf of a passenger

Mobility & Accessibility Information

We may collect information reasonably necessary to determine whether AtlasCare can safely accommodate a transportation request, including:

  • Whether the passenger is ambulatory or uses a wheelchair
  • Type of wheelchair or mobility device
  • Walker, rollator, or other mobility equipment
  • Mobility assistance requirements
  • Transfer ability
  • Accessibility considerations
  • Positioning requirements
  • Advanced positioning wheelchair requests
  • Passenger weight when necessary to determine safe equipment or vehicle suitability
  • Other transportation-related limitations or assistance needs

Please provide only information reasonably necessary for transportation purposes.

2. Sensitive Transportation Information

Because AtlasCare provides healthcare-related transportation, some information provided to us may reveal or suggest information about a person's health, mobility, healthcare appointments, treatment locations, or physical limitations.

For example, a transportation request to a particular medical facility or information regarding wheelchair use may indirectly reveal information about an individual's healthcare needs.

AtlasCare seeks to limit the collection, use, and disclosure of this information to what is reasonably necessary to:

  • Evaluate transportation requests
  • Determine whether AtlasCare can safely provide the requested service
  • Schedule and provide transportation
  • Coordinate with authorized passengers, caregivers, facilities, or family members
  • Provide requested companion or transportation-related services
  • Maintain appropriate business and service records
  • Protect passenger and driver safety
  • Comply with applicable legal requirements

AtlasCare does not sell sensitive transportation or healthcare-related information.

3. Information Provided by Someone Other Than the Passenger

Transportation may be requested by:

  • A family member
  • Caregiver
  • Healthcare professional
  • Hospital or healthcare facility
  • Case manager
  • Social worker
  • Discharge planner
  • Authorized representative
  • Other person assisting the passenger

When you provide information about another individual, you represent that you are authorized to provide the information reasonably necessary to request or coordinate transportation on that person's behalf.

AtlasCare may communicate with the requester as reasonably necessary to evaluate and coordinate the requested transportation.

Where appropriate, AtlasCare may ask for additional authorization before sharing information with other individuals.

4. Payment Information

AtlasCare may collect information necessary to process transportation payments, including:

  • Name of the person responsible for payment
  • Billing contact information
  • Amount charged
  • Payment status
  • Transaction information
  • Information necessary to issue refunds or receipts

Credit and debit card transactions are processed through third-party payment-processing providers.

AtlasCare does not intentionally store complete payment-card numbers or card security codes on its own systems when payment information is processed through those providers.

Payment processors may collect and process information according to their own privacy and security practices.

5. Website & Device Information

When you visit the AtlasCare website, certain information may be collected automatically by AtlasCare or service providers supporting the website.

This may include:

  • Internet Protocol (IP) address
  • Browser type
  • Device type
  • Operating system
  • Pages visited
  • Referring website or source
  • Approximate geographic region
  • Date and time of website activity
  • Website interactions
  • Technical information used for security, performance, and troubleshooting

We may use this information to maintain and improve our website, understand how visitors use it, evaluate marketing effectiveness, prevent misuse, and protect website security.

6. Information Submitted Through Online Forms

AtlasCare may use online forms or third-party scheduling technology to collect transportation requests.

Information submitted through these forms may be transmitted to and processed by service providers that support AtlasCare's scheduling, trip-management, communication, or business operations.

Please avoid submitting medical records, diagnoses, detailed treatment information, Social Security numbers, insurance identification numbers, or other sensitive information that AtlasCare has not specifically requested.

If additional information is necessary to safely evaluate a transportation request, an AtlasCare representative may contact you.

Saving a Trip Estimate by Email or Text

After you check availability and pricing on our website, you can choose to have the estimate emailed to you. If you do, we collect the email address you enter and, if you provide it, your first name.

We use this information to send you the estimate, which includes the trip details you entered (such as the date, pickup and destination addresses, trip type, and wheelchair option) and a link to finish your transportation request. We also share the estimate and your email address with AtlasCare staff so that a team member may follow up with you about that trip.

We keep the saved estimate — your email address, your first name if you gave it, the trip details, and whether our staff have followed up — so AtlasCare staff can follow up with you and see whether you went on to request the trip. Saved estimates are deleted automatically 30 days after the estimated trip date.

You can instead choose to have the estimate texted to you. If you do, we collect the mobile number you enter and, if you provide it, your first name, and we send one text message from our main line, (971) 287-7766, through our business phone provider. The text contains the estimate and a short link to finish your request. We keep the number with the saved estimate, together with a record of the notice shown next to the Text My Estimate button, on the same terms as an emailed estimate above, and share it with AtlasCare staff so a team member may follow up with you about that trip. Message and data rates may apply. Reply STOP to opt out of further texts from that number.

Saving an estimate does not book transportation, does not sign you up for marketing emails or texts, and does not enroll you in AtlasCare’s text message program. To avoid sending the same estimate to the same address or number more than once, and to prevent misuse, we also keep short-lived records containing a scrambled (one-way hashed) form of the email address or phone number, which expire shortly after the estimate does (records used to limit texts to a number expire after one day).

Transportation Plans and Plan Links

When you check availability and pricing, we save the estimate as a Transportation Plan so the trip details you entered (such as the date and times, pickup and destination addresses, trip type, wheelchair option, and estimated price) do not have to be re-entered when you finish your request. Each plan has a reference number and is opened by a private link. The link itself contains only a long random code — not your addresses, times, or other trip details — and the Request a Trip page removes that code from your browser’s address bar once the page opens.

Anyone who has a plan link can see the plan’s trip details and estimate and use it to request the trip, so please share it only with people who are helping with the trip. Plan links stop working seven days after the trip date (or 30 days after the estimate if no date was given), and AtlasCare may turn off a plan link at any time for privacy, security, or operational reasons. We record when a plan link is opened, without storing your IP address, to protect the links and to troubleshoot problems. Plans that are not turned into a trip request are deleted automatically 30 days after the trip date; plans that become a trip request are kept with that request.

From a plan you can share it, download it as a PDF, or print it. When you choose Share with someone, the message and link are sent from your own phone or email account — AtlasCare does not contact the person you share it with. A shared, downloaded or printed plan shows what is needed to coordinate the trip (such as the route, times, wheelchair, service level and estimate). It does not show the passenger’s weight, answers about seated travel or transfers, private notes, or internal review details. Our website analytics record only general categories (for example, “wheelchair” or a price range) and never a plan link, address, contact detail, or health or equipment answer.

7. How We Use Personal Information

AtlasCare may use personal information to:

  • Respond to transportation inquiries
  • Send a trip estimate you ask us to email or text to you, and follow up with you about that trip
  • Evaluate whether a transportation request can be safely accommodated
  • Schedule and confirm transportation
  • Provide transportation and related services
  • Coordinate pickups, destinations, appointments, and return transportation
  • Communicate with passengers, caregivers, facilities, and authorized representatives
  • Provide trip confirmations and service updates
  • Process payments
  • Provide receipts
  • Respond to questions and customer-service requests
  • Manage cancellations, refunds, or scheduling changes
  • Maintain transportation and business records
  • Operate and improve our website and services
  • Train and support personnel
  • Protect passengers, personnel, vehicles, equipment, and the public
  • Prevent fraud or misuse
  • Establish, exercise, or defend legal rights
  • Meet insurance, accounting, tax, regulatory, or legal obligations

We may also use aggregated or de-identified information for legitimate business purposes when the information can no longer reasonably be associated with a particular individual.

8. Communications

AtlasCare may contact you by phone or email, as appropriate and permitted, regarding:

  • Transportation requests
  • Trip estimates you ask us to email to you, and a follow-up about that trip
  • Reservation confirmations
  • Pickup information
  • Driver or arrival updates
  • Appointment or return-trip coordination
  • Scheduling changes
  • Payment or receipt information
  • Customer service
  • Follow-up regarding services you requested

These communications are considered service-related communications.

AtlasCare may separately send occasional marketing or service-announcement communications by email when permitted by law and, where required, with your consent. You may opt out of marketing communications at any time. Marketing is never sent through the AtlasCare SMS program.

SMS text messaging requires separate consent as described in Section 9. Opting out of text messages stops messages from the AtlasCare SMS program, including service-related texts. We will use another available, permitted contact method to coordinate transportation you have requested. Opting out of texts does not cancel a transportation reservation.

9. SMS Text Messages — Quotes & Trip Updates

When you opt in to AtlasCare Transport's SMS program, we may send text messages about transportation estimates you request, booking coordination and confirmations, pickup and arrival updates, trip reminders, schedule changes, payment notices, receipts, and customer support. Some messages may be sent using automated technology. This program does not include promotional messages.

We collect and use your mobile number, your messaging preferences, the content of your communications, and records of your consent or opt-out to provide this messaging service and maintain appropriate records. Providing a phone number or requesting transportation does not, by itself, enroll you in ongoing SMS communications.

Message frequency varies based on your transportation requests, scheduled trips, and communications with AtlasCare. Message and data rates may apply.

Reply STOP to opt out of the AtlasCare SMS program. We may send one final message confirming your opt-out. After that, we will not send further program texts unless you opt in again, for example by texting START. Reply HELP for help, or call (971) 287-7766.

SMS consent is optional and is not a condition of purchasing transportation services. You may request quotes and coordinate transportation by phone, email, or another available contact method.

Please do not send diagnoses, medical records, full payment-card details, or other highly sensitive information by ordinary text message. Read our Terms of Service for additional SMS program terms, and see how AtlasCare collects SMS consent.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

10. How We Share Information

AtlasCare does not sell personal information.

We may disclose personal information when reasonably necessary to provide services, operate our business, protect safety, or comply with applicable law.

Passengers, Caregivers & Authorized Persons

We may share transportation-related information with passengers and persons authorized to coordinate their transportation.

Healthcare Facilities & Referral Sources

When transportation has been requested or coordinated through a hospital, healthcare facility, case manager, discharge planner, or other authorized source, AtlasCare may communicate information reasonably necessary to:

  • Confirm transportation
  • Coordinate pickup or discharge
  • Communicate arrival information
  • Address transportation-related changes
  • Resolve transportation issues
  • Confirm completion of transportation where appropriate

AtlasCare seeks to limit these communications to information reasonably necessary for transportation coordination.

Service Providers

AtlasCare may use service providers to support functions such as:

  • Transportation scheduling
  • Trip management
  • Payment processing
  • Communications
  • Website hosting
  • Email
  • Mapping and navigation
  • Analytics
  • Cloud storage
  • Accounting
  • Insurance
  • Information technology
  • Business administration

These providers may process information on AtlasCare's behalf as reasonably necessary to perform their services.

Legal, Safety & Compliance Purposes

AtlasCare may disclose information when reasonably necessary to:

  • Comply with applicable law, regulation, subpoena, court order, or legal process
  • Cooperate with law enforcement where legally required
  • Protect the health or safety of a passenger or another person
  • Respond to an emergency
  • Protect AtlasCare's rights, property, personnel, passengers, or equipment
  • Investigate suspected fraud, misuse, or unlawful activity
  • Establish, exercise, or defend legal claims

SMS exclusion. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

11. Healthcare Information & HIPAA

AtlasCare is a non-emergency transportation company and does not provide medical diagnosis, treatment, or clinical care.

The fact that information relates to healthcare transportation does not necessarily mean that the information is “protected health information” governed by the Health Insurance Portability and Accountability Act (“HIPAA”).

HIPAA applies to organizations and information when the requirements of that law are met.

Depending on a particular relationship or service arrangement, AtlasCare may receive information from a healthcare organization that is subject to HIPAA or may enter into agreements imposing specific confidentiality, privacy, or security obligations.

When AtlasCare is legally or contractually required to protect information under HIPAA or another applicable privacy requirement, AtlasCare will handle that information in accordance with the applicable requirements.

Nothing in this Privacy Policy is intended to represent that all information handled by AtlasCare is subject to HIPAA or that AtlasCare is a HIPAA-covered healthcare provider.

12. Business Associate Relationships

In some circumstances, a healthcare organization may determine that AtlasCare is performing services that require a Business Associate Agreement or another healthcare privacy agreement.

When AtlasCare enters into such an agreement, information covered by that agreement will be handled according to the applicable agreement and legal requirements.

If the terms of an applicable Business Associate Agreement or other legally required healthcare privacy agreement conflict with this Privacy Policy, the applicable agreement and law will control with respect to the information covered by that agreement.

13. Information We Do Not Intentionally Request

Unless AtlasCare specifically requests information for a legitimate transportation or administrative purpose, please do not submit:

  • Social Security numbers
  • Complete medical records
  • Detailed clinical histories
  • Medical imaging
  • Laboratory results
  • Passwords
  • Bank-account credentials
  • Complete payment-card information by ordinary email or text message
  • Other information unnecessary to arrange transportation

14. Data Security

AtlasCare uses reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

Depending on the systems and information involved, these measures may include:

  • Access controls
  • Password protection
  • Restricted employee or contractor access
  • Secure third-party technology providers
  • Device and account security practices
  • Appropriate record-handling procedures
  • Personnel training
  • Reasonable administrative safeguards

No electronic transmission, website, database, or storage system can be guaranteed to be completely secure.

AtlasCare therefore cannot guarantee absolute security, but we take reasonable measures designed to protect information entrusted to us.

If AtlasCare becomes aware of a security incident involving personal information, we will evaluate the incident and provide notifications when required by applicable law.

15. Data Retention

AtlasCare retains personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate operational, legal, accounting, tax, insurance, dispute-resolution, or recordkeeping requirements.

Retention periods may vary depending on the type of information and the reason it was collected.

For example, AtlasCare may retain:

  • Transportation and transaction records
  • Payment and accounting records
  • Communications related to services
  • Incident or safety records
  • Contract and facility records
  • Records necessary to respond to complaints, disputes, insurance matters, or legal claims
  • Records of SMS consent and opt-out requests
  • Emails sent at your request, such as a saved trip estimate, and related follow-up communications

Information that is no longer reasonably necessary will be deleted, anonymized, securely disposed of, or otherwise handled in accordance with AtlasCare's applicable record-retention practices.

16. Cookies & Similar Technologies

The AtlasCare website may use cookies and similar technologies to:

  • Operate the website
  • Maintain website security
  • Remember preferences
  • Understand website usage
  • Measure website performance
  • Understand how visitors reach the site
  • Improve marketing and customer experience

Some cookies may be placed by third-party service providers.

The AtlasCare website may contain links to, integrations with, or services provided by third parties.

These may include scheduling platforms, payment processors, mapping providers, communication systems, or other technology providers.

Third-party providers have their own privacy and security practices.

AtlasCare encourages you to review their privacy policies when interacting directly with their services.

AtlasCare is responsible for its own privacy practices but does not control the independent privacy practices of third parties.

19. Children's Privacy

AtlasCare's website and transportation-request services are not directed to children for independent use.

Transportation for a minor should be requested or authorized by a parent, legal guardian, healthcare provider, facility, or other person with appropriate authority.

We do not knowingly solicit personal information online directly from children under 13 without appropriate authorization.

If you believe a child has submitted personal information to AtlasCare without appropriate authorization, please contact us so that we can review the matter.

20. Your Privacy Choices

You may contact AtlasCare to request that we:

  • Update your contact information
  • Correct inaccurate information
  • Provide information about certain personal information we maintain
  • Delete information where deletion is appropriate and permitted by law
  • Stop sending marketing communications
  • Stop sending text messages (you can also reply STOP to any AtlasCare text at any time)

AtlasCare may need to verify your identity before fulfilling certain requests.

We may decline or limit a request when retaining or using the information is reasonably necessary for purposes including:

  • Completing transportation or a transaction
  • Maintaining legally required records
  • Accounting or tax requirements
  • Insurance requirements
  • Fraud prevention
  • Safety
  • Resolving disputes
  • Establishing or defending legal claims
  • Complying with applicable law

Additional privacy rights may apply to certain individuals depending on applicable state or federal law.

AtlasCare will honor rights required by applicable law.

21. Requests Made by Authorized Representatives

Where permitted by applicable law, an authorized representative may make a privacy request on behalf of another person.

AtlasCare may request reasonable documentation establishing the representative's authority before responding.

This requirement does not prevent AtlasCare from communicating with caregivers, family members, healthcare professionals, facilities, or other persons when authorized or otherwise appropriate for routine transportation coordination.

22. Do Not Sell Personal Information

AtlasCare does not sell personal information.

AtlasCare also does not sell transportation, mobility, healthcare-related, or appointment information to data brokers, advertisers, or other third parties.

If AtlasCare's practices materially change in the future, this Privacy Policy will be updated and any rights required by applicable law will be provided.

Mobile Information and SMS Consent

AtlasCare does not sell, rent, or disclose mobile phone numbers, SMS opt-in records, or text messaging consent to third parties or affiliates for their marketing or promotional use.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. SMS consent is specific to AtlasCare and is not transferred to another business for its messaging purposes.

23. Oregon Privacy Rights

Oregon law may provide certain residents with privacy rights when the applicable statutory requirements are met.

Those rights may include rights regarding access, correction, deletion, portability, and certain uses or disclosures of personal data.

The applicability of particular rights depends on the circumstances and the requirements of applicable law.

AtlasCare will respond to valid privacy requests as required by applicable Oregon law.

24. Information Security Incidents

AtlasCare takes the security of personal information seriously.

If AtlasCare discovers that personal information has been accessed or acquired without authorization, we will investigate the circumstances and take reasonable steps to address the incident.

When notification is required by applicable law, AtlasCare will provide required notifications to affected individuals and appropriate government authorities within the legally required timeframes.

25. Business Transfers

If AtlasCare is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, personal information may be transferred as part of that transaction as permitted by law.

Any successor organization receiving personal information would be expected to handle that information in accordance with applicable privacy requirements.

Any handling of mobile information or SMS consent in connection with a business transfer remains subject to Section 22 and applicable messaging-consent requirements.

26. Changes to This Privacy Policy

AtlasCare may update this Privacy Policy periodically to reflect changes in:
